Practical software guides
Expansion is a good time to identify which system owns each fact. Adding another app before that decision can create two inventories, two customer histories and two versions of the same promise.
| Fact | Authority | Missing task |
|---|---|---|
| Products and stock | Existing POS/inventory | Second-site stock transfer acknowledgement |
| Bookings | Existing PMS | Approved arrival notice to transfer supplier |
| Customer contact | Existing CRM | Restricted follow-up view for assigned staff |
| Payment | Provider transaction plus accounting | Reference matching and payout reconciliation |
Three bounded variations
- Second location: test how a stock transfer is received once and how a manager’s absence is covered.
- Resort pre-opening: track approved prerequisites; do not treat a readiness dashboard as safety or regulatory permission to open.
- Cross-border orders: identify currency, destination, fulfilment and the actual document requirements with specialists; a generic customer timeline is insufficient.
No-buy criteria
Keep the current tool when configuration supports the task, permissions and failure handling. Integrate a supported interface when duplicate entry is the main constraint. Commission custom software only when a valuable task remains unsupported and maintenance, access recovery and exit have owners.
Try a synthetic transaction across the map and disconnect one integration. If nobody can explain which version is authoritative, fix that before rollout. The bottleneck worksheet and exit drill make the buying decision concrete. No expansion delivery or export expertise is claimed by these planning examples.
