Fleet Compliance Should Not Live in the Glovebox

A vehicle-readiness register that distinguishes official documents from internal operating checks.

Practical software guides

Fleet software should display why a vehicle is available, held or out of service. It should not treat a green dashboard label as proof that the vehicle is legally or mechanically fit.

FieldPurpose
Vehicle and document referenceMatch the actual vehicle and reviewed evidence
Document expiryUse the issuing authority’s date
Internal inspection dueSeparate company policy from statutory requirement
Hold reasonMissing document, reported fault or qualified safety decision
Release approvalResponsible person and evidence; no automatic release

For a synthetic vehicle whose document expires tomorrow, test an advance reminder, an expired state and a replacement document uploaded with the wrong vehicle identifier. The third case should remain held for review.

Consult the Bahamas Road Traffic Department for current official requirements and services. Do not copy an undated deadline from a template. Existing fleet products may cover the register; build only a missing integration or role-specific view. Qualified staff retain all mechanical and operating decisions.
