Practical software guides
Start billing visibility with arithmetic and approved source data. AI is not required to match recorded time, agreed rates and invoices, and combining client notes with communications can create unnecessary confidentiality exposure.
| Item | Expected | Review |
|---|---|---|
| Approved time | 2 hours × B$100 = B$200 | Rate and billable status reviewed |
| Draft invoice | B$150 | B$50 difference requires explanation |
| Possible reason | Approved cap, write-off or omitted entry | Responsible reviewer records the decision |
| Client release | Approved final invoice | No automatic collection or disclosure |
A gap is not automatically lost revenue. The engagement may include a cap, discount or non-billable work. Keep the original source and the explanation rather than changing time entries to make the report match.
If AI summarizes unstructured internal notes, restrict it to assigned material, review provider terms and retention, and have a professional verify the output. It should not determine fees, disclose confidential information or send a client invoice. No recovered-revenue or productivity result is claimed.
