Practical software guides
Customs clearance, receipt of goods and financial closeout are different events. Match them using the shipment reference and keep estimated charges separate from final invoices.
| Charge | Estimate | Final |
|---|---|---|
| Goods | 1,000 | 1,000 |
| Freight | 150 | 170 |
| Other approved charges | 100 | 110 |
| Total before allocation | 1,250 | 1,280 |
If 10 identical units were expected but only 9 were received, flag the short receipt. Do not automatically divide B$1,280 by 10 and treat the missing unit as available stock. Accounting must decide how charges, losses and credits are allocated; the app preserves the evidence and calculation version.
Connect existing tools carefully
Retain broker invoice references, receiving confirmation and the accounting entry. A disputed charge remains an exception until the approved credit or decision is matched. Test a duplicate invoice and an amended broker charge before allowing automated posting.
Use the existing inventory/accounting product’s landed-cost function if it fits. Integrate document matching only when that step is the bottleneck. Software does not replace customs authority or accounting judgment, and this specimen promises no faster clearance or margin gain.
